Rounding

Gestan displays rounded monetary amounts, but stores the full set of digits.

For example, an amount of 137.3083333333333 will be displayed as 137.31 if you manage amounts to two decimal places, but will be stored as 137.3083333333333.

You can manage the prices in your product catalogue either on an excluding VAT basis or on an including VAT basis, via the general settings.

Often, B2B companies will prefer to use an exclusive of VAT basis, whilst B2C companies will prefer an inclusive of VAT basis.

Let’s look at a real-life example to understand the difference.

Take a company (hello Mylène ;-) ) that sells parts at 6.92 excluding VAT and with 4% VAT, making the total price 7.20 including VAT.

  • At the pre-VAT price, we have: 6.92 excluding VAT and (6.92 × 1.04), which equals 7.1968 including VAT
  • For the price including VAT, we have: 7.20 including VAT and (7.20/1.04), which gives 6.9230769231 excluding VAT

For a sale of 494 items, we have:

Calculation method Unit price excluding VATUnit price including VATQuantityexcluding VATincluding VATVAT% VATrounded excluding VATrounded including VATrounded VAT
Unit price including VAT derived from the price excluding VAT6.92 7.1968 494 3418.48 3555.2192 136.7392 43418.48 3555.22 136.74
Unit price excluding VAT derived from the price including VAT6.9230769231 7.2 494 3420 3556.8 136.8 43420.00 3556.80 136.80

Depending on your settings:

  • if you are using an exclusive of VAT basis (or if you enter a unit price of 6.92 excluding VAT in the invoice record), Gestan will record an amount excluding VAT of 3418.48 and a total amount including VAT of 3555.22
  • if you are using a price including VAT (or if you enter a unit price of 7.20 including VAT in the invoice record), Gestan will record an amount excluding VAT of 3,420.00 and an amount including VAT of 3,556.80

It is recommended that you always use the same method to ensure your documents are consistent.

Take, for example, a retailer selling bottles at 16.97 with VAT at 5.5 per cent. A very good friend places an order for 5 bottles, and the seller gives them a very generous discount of 39.30 per cent.

This gives us:

Amount
Excl. VAT 51.503950
VAT 2.832715
incl. VAT 54.336665
excluding VAT and VAT 54.336665

If we round these amounts to two decimal places, we get:

Amount
Excl. VAT 51.50
VAT 2.83
including VAT 54.34
excluding VAT + VAT 54.33

There is therefore a difference of 1 centime when the results are displayed to only two decimal places.

In this case,Gestan will set the VAT amount to the difference between the two amounts, excluding VAT and including VAT. We will therefore have:

Amount
Excl. VAT 51.50
VAT 2.84
including VAT 54.34
excluding VAT + VAT 54.34

(Thanks to @GaëtanGF for this example)

In some cases, particularly where data has been entered inconsistently, a rounding discrepancy may be observed on a document.

To resolve this, the simplest method is to re-enter the amounts (including or excluding VAT, as appropriate) directly into the list of items for the relevant document, as shown below.
